Even though there's no direct integration between the Genius Scan and QuickBooks Online, there are two efficient ways to transfer your scanned receipts into QuickBooks:
directly from Genius Scan to QuickBooks Online using QuickBooks’ built-in email forwarding feature.
and upload them to QuickBooks from there.
We’ll walk you through both options below so you can pick the one that works best for you.
This approach is ideal if you’d like to email receipts immediately after scanning—no computer needed.
QuickBooks offers a feature where you can send receipts by email, and QuickBooks will automatically scan and categorize them for you. Here's how to set that up:
Log in to your QuickBooks Online account.
In the left sidebar, go to Transactions, then click on Receipts.
At the top of the Receipts page, click “Forward from email” to set up a custom email address. It will look like this:
yourcompany@qbodocs.com
If other team members need to send receipts, click “Manage forwarding email” and authorize their email addresses.
Keep the following requirements in mind:
You must send the receipts from the email address linked to your QuickBooks account (or an authorized one).
Each email should contain only one file, and that file should contain only one receipt.
Supported file formats include: PDF, JPG, JPEG, PNG, and GIF.
File sizes must be between 46 KB and 20 MB.
Once QuickBooks is set up, you can start scanning and sending receipts.
Open the Genius Scan app on your iOS or Android device.
Use the camera to scan your receipt.
Make any needed adjustments (crop, rotate, enhance).
Tap the Share button.
Select Email as your export method.
In the “To” field, enter your custom QuickBooks address — for example:
yourcompany@qbodocs.com
Send the email.
You can set up an in Genius Scan to pre-fill the email address and file format — making it just a few taps to send receipts every time.
If you prefer to organize your receipts in a cloud storage folder before importing them, this method is ideal. It’s especially helpful if you want to bulk import receipts at the end of the week or month.
Open Genius Scan and scan your receipt.
Tap Share and select Google Drive.
Choose the folder where you want to save your receipts (e.g., Receipts > For QuickBooks
).
Upload the scanned receipt.
You can also so that all your scans go automatically to a specific folder in Google Drive.
Go to Transactions > Receipts in QuickBooks Online.
Click “Upload from Google Drive”.
Authorize QuickBooks to access your Google Drive (if you haven’t done so already).
Select the receipt(s) you want to import.
QuickBooks will scan each file, extract relevant details (vendor, date, amount), and show them in the “For Review” list.
Use smart naming conventions: Rename your scans with meaningful filenames like 2025-04-11_CoffeeShop_6-80.pdf
. This helps you find and organize them later.

Keep it simple: Each file should only contain one receipt. QuickBooks can't process multi-receipt documents or multi-page scans.
Always review your receipts in the “For Review” tab in QuickBooks to confirm everything looks correct before they’re added to your expenses.
